Transaction Coordinator/Buyer Coordinator

We are looking for a Transaction Coordinator/Buyer Coordinator to support our team with all aspects of the escrow process for each buyer including but not limited to collecting all information, documentation, following up on contractual items, and ensuring completed files are in compliance with internal company and department of real estate policies by state.

In this position, you’ll work among dedicated agents and staff in a fast-paced and collaborative environment. Our office is energetic, client-centered, efficient, and enthusiastic, and we are looking for a transaction coordinator who shares these qualities.

Desired Qualifications:

  • Real Estate transaction coordination experience is a must
  • Real estate license not required
  • Excellent attention to detail
  • Strong sense of accountability for the customer experience
  • Cool and calm demeanor when resolving issues and communicating with agents and clients
  • Experience using email, phone, and customer relationship management tools to communicate with clients and other parties in real estate transactions

Responsibilities/Duties (including, but not limited to):

  • Oversee all aspects of buyer transactions from executed purchase agreement to closing.
  • Support Realtor partners in writing and submitting offer package. 
  • Coordinate title/escrow, mortgage loan and appraisal processes. 
  • Regularly update & maintain communication with clients, agents, title officer, lender etc. 
  • Take care of all the communication involved in the transaction such as phone calls, emails, scheduling appointments and any other details during the transaction
  • Keep involved parties informed of all the details.
  • Verify all documents are properly executed by all parties.
  • Ensure escrow has been opened and all parties have received the appropriate documents.
  • Follow up on loan approvals.
  • Confirm and verify appraisal has been ordered.
  • Create and maintain calendar of events and detailed task lists.
  • Schedule and follow up on inspections, walk-through, closings, and any other appointments.
  • Coordinate tasks with co-op agent and Title Company.
  • Upload and disseminate all documents, reports, and disclosures; provide follow-up.
  • Schedule 30 Day, 90 Day & 120 Day client customer service follow up calls to assist with any home improvement provider recommendations and to ask for referrals.


  • 55k to 65k annually-DOE
  • 7 paid holidays each year 
  • 10 PTO- days off or sick days
  • 3 % of annual income-profit sharing (starts after one year of employment)  
  • $250 a month stipend for medical insurance 

Position Type/Expected Hours of Work: 8:30 am – 5 pm on most days, but it is a salaried position and may need longer hours to complete job.

Showing Agent

We are looking for a Showing Agent to join our competitive team of professionals. If you are someone who loves real estate and connecting with clients but prefers to leave the marketing and lead generation to the experts, then this position could be a great fit for you. At Real Estate 38, we provide a structure that allows each agent to focus their time on their clients and leave the rest of the contract work and marketing to the support staff.

Desired Qualifications:

  • Active California Real Estate License with at least 2 years experience
  • Strong Interpersonal communication skills – You’re a great listener who focuses on the needs of the client
  • Cognizant of buyer priorities and adept at dispelling reservations
  • Composed under pressure
  • Conscientious and dedicated to serving clients with their best interest in mind
  • Driven to meet sales goals while simultaneously providing exceptional service
  • Eager to learn and continually develop skills
  • Organized and able to prioritize tasks accordingly

Responsibilities/Duties (including, but not limited to):

  • Advise buyer clients on how to refine their house-hunting criteria and show them properties that align with their preferences
  • Educate buyers on the home buying process and guide them through the transaction
  • Research potential homes and local communities to inform buyers about each property
  • Schedule appointments and show homes to buyers to assist the lead agent
  • Provide clients with market research and up-to-date pricing information
  • Answer all client calls, emails, and texts in a timely manner to demonstrate commitment and superior customer service
  • Communicate with the lead agent regularly to update them on the status of home searches and client developments
